Who we are

Virty B Limited ("Virty B", "we", "us") is responsible for the personal information described in this policy. We're registered in England and Wales, Company No. 16893744, and our registered office is Unit 9 Enterprise Park Industrial Estate, Woodbourn Road, Sheffield, S9 3JL.

We're registered with the Information Commissioner's Office (ICO) under registration number ZC278230.

Our Data Protection Officer is Sayada Rahima Akther Bokul. For any question about this policy or your information, email admin@virtyb.com.

This policy covers information we collect through our website and by email. When we handle personal information for our clients as part of our services, we do so under our agreement with that client, and the client's own privacy notice applies.

What we collect and why

When you send us an enquiry

What
Your name, email address, company (if you give it) and your message.
Why
To reply to you and talk about how we can help.
Lawful basis
Our legitimate interest in responding to enquiries about our services.

When you apply for a job

What
Your CV and anything else you send us, such as your contact details, work history, qualifications, links to your work and your covering note.
Why
To assess your application and contact you about it.
Lawful basis
Taking steps you've asked for before entering into a contract with you, and our legitimate interest in recruiting the right people.

When you subscribe to our newsletter

What
Your email address.
Why
To send you our newsletter.
Lawful basis
Your consent, which you can withdraw at any time by unsubscribing.

When you visit our website

What
The technical details your browser sends with every request, such as your IP address, browser type and the page you asked for.
Why
To deliver the website and keep it secure.
Lawful basis
Our legitimate interest in running a safe, working website.

Our contact form and newsletter sign-up don't send anything to us directly. They open your own email app with a message ready to send, so we only receive your details if you send it.

Please don't include sensitive information, such as health details, in a job application unless it's relevant to it.

You don't have to give us any information, but we can't reply to you, consider your application or send you our newsletter without your contact details. We don't make decisions about you by automated means.

Cookies

We don't use cookies, analytics, advertising trackers or anything else that stores information on your device, which is why you won't see a cookie banner. If this changes, we'll update this policy and ask for your consent where the law requires it.

How long we keep it

Enquiries
One month after we've dealt with your enquiry. If you become a client, we keep the relevant correspondence while we work together and for as long as the law requires afterwards.
Job applications
One month after we've made a decision on your application. If we hire you, your application becomes part of your staff record.
Newsletter sign-ups
Until you unsubscribe.
Server logs
For a short period, in line with our hosting provider's standard settings.

Who we share it with

We use these providers to run our website and email:

  • Namecheap, Inc. provides our email, so the enquiries, job applications and newsletter sign-ups you send us are stored on its servers.
  • Hostinger hosts our website and keeps its server logs.
  • Google (Google Fonts) supplies the font our website uses, so it receives your IP address when a page loads.
  • jsDelivr delivers the animation player on our Contact page, so it receives your IP address when that page loads.

We only share your information with anyone else if the law requires us to. We never sell your personal information.

Transfers outside the UK

Namecheap and Google are based in the United States, and our other providers may also store or process information outside the UK. When personal information leaves the UK, it's protected by the safeguards UK data protection law requires, such as adequacy regulations or approved contract terms.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to limit how we use your information
  • object to us using your information on the basis of our legitimate interests
  • ask us to pass information you gave us to another organisation
  • withdraw your consent at any time, for example by unsubscribing from our newsletter

Some of these rights only apply in certain situations. To use any of them, email admin@virtyb.com. We'll reply within one month, and there's usually no charge.

Complaints

If you're unhappy with how we've handled your information, please contact us first so we can put it right. We'll acknowledge your complaint within 30 days.

You can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

Changes to this policy

We'll update this page if the way we use personal information changes. The date at the top shows when it was last updated.
